Hospital Onboarding

Question

Answer

Who receives the hospital's initial Invitation email to onboard (join) the DDSP?

The hospital designates a signatory official to receive correspondence specific to the initial login to the Direct Data Submission Platform (DDSP).

This contact is the first person to log onto the Platform for the hospital and signs the legal forms related to accessing and utilizing the Platform.  This contact can invite additional users, as needed, to the Platform and is not necessarily the same person who performs the data upload and submit process.

Note: This contact is for purposes of the DDSP and will not change/impact the ORYX Contact or other contacts for JC Connect.

What forms will hospitals being on-boarded for the first time encounter during registration?

During registration and the initial login on the DDSP the following forms must be agreed to:

  • The initial User reads and agrees to the

    • DDSP Supplemental Terms and Conditions

    • DDSP Acceptable Use Policy

  • All Users read and agree to the DDSP Acceptable Use Policy which defines the rules which users must agree to abide by in order to use the Platform.

User Invitations and Login

Question

Answer

What do I need to do to login to the Platform?

Each user must be invited to their hospital Workspace by another Workspace user that has "Invite and Manage User" permission.

The user with Invite and Manage User permission will use the DDSP to create an invitation. The DDSP sends an email containing the invitation link to the individual being invited.

Notes:

  • The invitation email comes from [email domain]

  • Once the invitation link is used to register and log in to the Platform, the invitation link cannot be used again to access the DDSP.

  • ·After accepting the invitation, users must use the Platform link to access The Joint Commission Direct Data Submission Platform: [website domain] It is recommended that the users bookmark or favorite this link in their browser.

  • Users with access to multiple hospitals only need to register once.

    • Note: Users accepting onboarding invitations for multiple hospitals, must accept the onboarding invitation for each hospital.

Users are required to setup 2-Factor Authentication.  This is an extra layer of security that requires not only a password and username, but also something only that user has on them (i.e. a piece of information only they should know or have immediately at hand).  Refer to the 2-Factor Authentication discussion for more information.

Who can be invited to the DDS Platform?

Users with the Invite and Manage User permission for the hospital may invite anyone who is needed to assist in a successful submission of data, this includes other hospital staff, a consultant or EHR/HIE vendor.  The hospital:

  • is responsible for authorizing and managing the users, protecting and managing the content (including, but not limited to data and analytics) and the use of web services; hospitals must exercise caution and only invite and provide appropriate permissions for those users who are needed to assist in successful submission of data.

  • is responsible for user’s compliance with the Terms of Service and all Regulations and for their use of the service.

  • should review the list of “current users” frequently to ensure that only those who are authorized can access the content and that they have the appropriate privileges.

May a hospital invite an external user (e.g., vendor or consultant) to assist them on the DDS Platform?

Users with the Invite and Manage User permission for the hospital can grant external users permission to assist with functionality such as uploading QRDA I documents or the data verification process (e.g., correct QRDA I generation based on error/warnings, review measure results and rates to assist with data mapping issues). Users may also be granted ‘View Only’ so they can provide support without having the ability to add or modify data.

  • Hospital staff are responsible for the data submission process and the relationships with external users on the DDS Platform.

  • The DDS Platform has been developed for hospitals and there is no additional functionality or training available for vendors/consultants.

  • Please ensure that your vendors/consultants watch the Platform webinars, read the Help documentation, and, if appropriate, attend Office Hours and/or External Education.

  • Vendors/consultants must submit Support Tickets via the Platform from the hospital they need assistance with.  There is no separate avenue for vendors/consultants to request support.

How often will I need to reset my 2-Factor Authentication code?

Periodically (approximately every 90 days), at time of login, the user is prompted to enter a new security code received via text as part of continued two factor authentication process.

The user does not need to login every 90 days, instead once the time-frame has elapsed the user will be prompted the next time they login.

The new security code will be sent to the phone number on record within the DDSP. If a user changes phone numbers, they need to proactively change their DDSP user record.
